Inbound process for our Netherlands warehouse: what to prepare before you ship

XLI Fulfillment · Updated 2026 · 3 min read

So that your goods can be counted, put away and synced to your stock promptly after they arrive, please complete the following before you ship. The more complete and accurate your information, the faster your inbound goes.

Pre-inbound preparation steps

  1. Confirm the partnership and provide product information

Once we have agreed to work together, please first send your product data, including:

    • Product name
    • SKU (product number)
    • EAN (product barcode)
    • Product photos, so we can verify the physical goods

Products that differ in style, colour or size must have a separate SKU, and the data must match the labels on the physical goods.

  2. Send the packing list before shipping

Please provide a packing list in Excel format showing the carton number, the SKU, EAN and quantity of the products in each carton, and the total shipped quantity of each product in this shipment.

If a carton contains several SKUs, list the quantity of each SKU separately and mark the matching carton number on the outside of the carton, so it can be checked on arrival.

  3. Share the shipping details

After dispatch, please send the tracking number or tracking link, the number of cartons or pallets, and the estimated arrival date at the warehouse. If the shipped quantity changes, please update the packing list promptly.

  4. Check-in and discrepancy check on arrival

When the goods arrive, we check the number of cartons, the products and the actual quantities against your packing list. If we find a quantity difference, a label mismatch or damaged goods, we record it and confirm it with you.

  5. Put-away and stock sync

Once counting is complete, we put the goods away, record the verified received quantities in the warehouse system, and sync your stock through the integration we have set up with you.

Please send complete and accurate information before the goods arrive, so that a missing packing list or missing product data does not delay your inbound.
